My background is working with Management Consultants and business coaches. Having spent many years in small businesses and consultancies, I understand the challenges of running a small business and working on multiple client projects.

My team are also organisers through and through. They love a complex diary to streamline and sense-check and a multi-stop business trip will make their day.

What is it like to work with us?

I think our clients come for the admin and stay for something else entirely! Working with us, you have someone on your team to bounce ideas off. Running a business can be a challenge, often you don’t have anyone to talk to about new ideas or to celebrate a win – getting a supportive, intelligent member of the team can be a huge help.

Q What is your pricing or package structure?

Hourly pricing. Pre-paid monthly retainers (minimum 10 hours per month) attract a discount.

Q What’s it like working with you as a VA?

We're not for everyone. That’s OK, everyone is not for us! I only work with people that I believe we are the best fit for. If we have a conversation and I can see a more cost-effective way or a more appropriate way of you getting some support, I will recommend you to someone or something else rather than just saying yes. I want to build great partnerships with clients and really enjoy who I work with and add value to their businesses. My clients enjoy working with us (so they say!) and that is important to me. I am not a task monkey, I am a person. I want to feel like a part of your business and I want your clients to think of me as one of your team and not a Virtual Assistant who just does a few hours a week (even if that’s all I do).

Q When are you available?

I work on client work every day except Friday, my associates may work differently. I keep Fridays to do my own admin, meetings and development. I am normally in work mode between about 8.30 and 6PM but I don’t always take calls or pick up emails as when I am “on the clock” for a client I avoid distractions so I can just crack on. I also do take on onsite work which means there are sometimes days when I am out. I will try and let you know if there is a whole day when I won’t be contactable and I normally check on emails during a lunch break if there is anything urgent. I also occasionally have a holiday or a day off – I’ll tell you about that with as much notice as I can and we can talk about whether one of my team of associates can do your work whilst I am not available.

Q When will you do my work?

When you send us some work, it really helps if you tell us when you need it by. We reserve hours for our retainer clients and only do ad hoc work when we can fit it around this. I will always let you know when an associate or I will be able to turn something around by. I divide up my week depending on what I have booked in so the more notice you can give me, the better. If you are likely to need an immediate response and work turning around the same day on a very regular basis then we probably aren’t a good match.

Q What is chargeable?

Virtual Assistants are a bit like lawyers, we bill our time. We work with online timesheets and click in and out as we switch between clients. If you’re not sure if something is billable, the best way to think about it is “While Kathy is doing this (Insert whatever “this” may be!), is she able to bill someone else for that time?”. If not, then I will be billing you! Whether it is replying to an email about your work, doing your work, meeting you about work or talking about it on the phone, it will be on the clock as I can’t earn money doing anything else while I am doing it.

Q How do retainers work?

For clients that need 10 hours a month or more and are able to commit to that, they can purchase a block of hours upfront. Because that helps me with my planning and my cashflow I reward that brilliant efficiency with a discount on those hours! The block of hours bought needs to be used up in the month it was bought for, no more than 10% can carry forward to the next month. Any hours on top of those blocks are charged at my normal rate. We can talk regularly to make sure that the right number of hours are being retained to not be wasted and to get you the best value for money.
